RECEPTIONIST

Job Description:

 

We are looking for a professional and reliable team member to fill the receptionist role in our NYC office.

 

This position is required to be in the office.

 

We are a Business Management firm that manages finances for musicians, songwriters, producers, and other high-profile clients in the entertainment space.

 

Responsibilities include:

  • Answer phones and greet guests while exhibiting exemplary customer service skills.
  • Make client check e-deposits; schedule pickups and drop-offs when necessary.
  • Open and distribute mail; scan for remote workers; manage Return-To-Sender mail for prior clients.
  • Primary responsibility for ordering meals/treats for NYC office and setting up same; calendaring these events and notifying Firm members.
  • Maintain client roster.
  • Setting up conference rooms and placing meal orders for internal and client meetings.
  • Tracking delivery receipts and saving accordingly.
  • Work on various Firm projects as requested.
  • Making photocopies, scanning, scheduling meetings in Outlook, sending faxes.
  • Work with and delegate work to Administrative Interns.

 

Requirements:

Maintains confidentiality in all aspects of position.  Maintains the ability to use grammatical, spelling and punctuation skills effectively.  Must have excellent organizational skills and the ability to multi-task.  Possesses excellent interpersonal skills as well as a cooperative and dependable personality.

  • Proficiency in Microsoft Office, specifically Word, Excel and Outlook is required.
  • Must be able to type a minimum of 40 WPM.
  • Experience in an office environment preferred, experience in a customer-facing role a must.
  • Expected workweek is 37.5 hours, 9:30-6:00 Monday – Friday; some OT may be required.

 

Salary: $40-45k, commensurate with experience
